5 desks · one place

From notice to stamped receipt.

A bid passes through five desks, from the vault to the paid invoice. Tendakazi is all of them, on a phone and a laptop.

  1. Set up the vault once

Upload each statutory document and Tendakazi records its issue and expiry dates. From then on the vault is a living state: valid, expiring, expired, missing.

    • CR12, KRA Tax Compliance Certificate, AGPO, NCA, business permit, NSSF, SHA, PIN and incorporation certificates, professional registrations, manufacturer authorisations.
    • Reminders at 60, 30 and 7 days in the desk and by email; SMS and WhatsApp on Pro and Enterprise. Renewals can be ordered as a service.
    • Your firm profile — turnover, years, staff, equipment, past contracts — lives beside the documents, because tenders ask for both.
  2. Upload the tender — we analyse it

Upload the tender document and your bid opens at once. Our analysts, working with AI, read every page and check each requirement against your vault and firm profile.

    • You receive a Tender Analysis Report: our recommendation, a readiness score, key dates, the bid security and the risks bidders usually miss.
    • Every gap explains why it is open and exactly what to send, with the page and clause it comes from.
    • Send each missing item from the report, or have us get it — registrations, renewals, bonds. Then instruct us to prepare the bid.
  3. Build the bid

The bid desk is a checklist that will not say Ready until it is. Assign forms to the people who sign them, price BQ lines against your cost history, and assemble the documents in the tender's own order.

    • Each requirement is a task with an owner and a due time measured against the closing time.
    • The BQ shows cost, price and margin per line and the bid total including VAT.
    • The assembled pack lists every document with its page count, ready to print or submit.
  4. Get it in the box

For digital tenders, the submission record holds the portal reference and the acknowledgement. For physical tenders, order compilation, printing and a timed courier.

    • Live courier position from pickup to the tender box.
    • The stamped receipt and a timestamped photograph are attached to the bid the moment it lands.
    • After opening, record the result — won, lost, the winning bidder and price — so the next bid is priced from evidence.
  5. Deliver the contract

A won bid becomes a contract: milestones, invoices and what the client still owes, in the same desk that won it.

    • Track payment against each invoice and see the receivables age by client.
    • Order LPO financing or invoice discounting from the contract when cash is tight.
    • Add the finished job to your experience library, with its completion certificate, for the next tender that asks.
