What it is
e-GP is the Government of Kenya's electronic procurement system. Procuring entities publish tenders on it, suppliers register and submit bids on it, and evaluation, award and contract steps are recorded on it. It replaces the older IFMIS supplier portal for the entities that have moved, starting with national government in the 2025/26 financial year and extending to counties and other entities in phases.
Notices still appear on the Public Procurement Information Portal (PPIP), which is where Tendakazi reads them. But where an entity tenders on e-GP, the bid itself has to go in through e-GP, from the firm's own supplier account.
Who must have it
Every firm that intends to bid to an entity using e-GP. A firm without a verified account cannot submit, however complete its documents are. Check each tender's notice for the submission route; where it names e-GP, treat registration as a mandatory requirement with a lead time.
Documents you need
- The company's KRA PIN certificate and the PIN of the person registering
- Certificate of incorporation or business registration, and a current CR12
- A valid KRA tax compliance certificate
- AGPO certificate, NCA registration or professional registrations, where the firm holds them
- Bank details and a working email and phone that the firm will keep for the account
How to register, step by step
- Open egpkenya.go.ke and choose supplier registration. Use the company's KRA PIN; one account serves the firm.
- Enter the firm's details exactly as they appear on the registration documents, then upload the documents asked for.
- Choose the procurement categories the firm supplies. A bid can only be submitted under a category on the profile, so choose fully.
- Submit for verification. The Treasury checks the details against KRA and the registrar; allow days, not hours, and watch the email given.
- Once verified, sign in, complete the profile, and keep the login details with the owner, not an individual officer who may leave.
Validity and keeping it current
The account does not lapse, but the documents on it do, and the system compares them with the authorities' records. An expired tax compliance certificate on the profile can block a submission in the same way it would in a paper bid. Renew the document, then update the profile, and keep the vault and the profile in step.
When the firm's details change (directors, address, categories), update the profile before the next bid, not on closing day.
Why bids fail on e-GP
- Registration started too late and verification had not come through by the closing time.
- The tender's category was not on the supplier profile.
- A document on the profile had expired, so the system checks failed.
- Uploads were still running at the deadline: the portal slows on closing morning.
- The financial part was uploaded inside the technical part on a two-envelope tender.
How Tendakazi helps
Record your e-GP registration in the vault and it sits beside the certificates the profile depends on, with their expiries watched. On each bid that submits electronically, the e-GP checklist walks through categories, documents, forms, the separate envelopes and the upload-by time, and reminds you a day before closing.
If you would rather we handle the registration, it is a quoted service; we never hold your e-GP password, and submission support means being at your side while you upload, not uploading for you.
Questions
Is e-GP the same as PPIP?
No. PPIP (tenders.go.ke) is the public notice board where tenders are published. e-GP is where registered suppliers submit bids to entities that use it. Tendakazi reads PPIP for notices.
Do counties use e-GP?
They are joining in phases. Check each county tender's notice for the submission route, and the portal's current announcements.
Can Tendakazi register or submit for us?
We can prepare and guide registration as a quoted service, and sit with you during an upload. We do not hold your e-GP password or submit from your account.
How long does verification take?
It varies with the Treasury's checks and your documents. Register well before you need to bid; do not start on closing week.
What if a document on my profile expires?
Renew it with the issuing body, upload the new one to e-GP, and replace it in your vault so the reminders stay right.
Track your e-GP registration beside the certificates it depends on, and get the submission checklist on every electronic bid.
