What the service covers

Government buyers in Kenya receive many bids electronically, through the IFMIS supplier portal, the e-Government Procurement system or a buyer's own portal. Each has its own registration, file limits and sequence of screens, and each slows down or times out under load on closing morning.

We prepare the files in the formats the portal accepts, upload them in the right sections, confirm the submission and keep the acknowledgement for your bid. We also handle supplier registration and prequalification applications, pay tender document fees and collect documents from the buyer when the notice requires it.

When you need it

  • The tender must be submitted on IFMIS or e-GP and your firm has never used the system
  • The portal needs the bid split into many files with size limits
  • A supplier registration or prequalification window is open and you want to be on the list
  • The tender document must be bought and collected from the buyer's office

What we need from you

The finished bid as files, the tender notice and its submission instructions, and access arranged on your own account. We never ask for your portal password: you sign in and we work with you, or you authorise a user on your account. Check the current rules of the portal you are using; each has its own procedure.

How it works, step by step

  • Request submission support from the bid page and choose what you need: upload, registration, tender fee or collection.
  • We check the portal's requirements and tell you what format each file must be in.
  • The upload is scheduled before closing day wherever possible.
  • Every file is checked after upload; the acknowledgement or receipt is saved to your bid.
  • For registrations, we complete the application and track the outcome.

What it costs

Quoted per job. A tender fee or registration charge payable to the buyer is listed as a disbursement on the quote, separately from our work, and passed on at cost.

Mistakes it prevents

  • Starting the upload on closing morning and losing the submission to a timeout
  • A file uploaded to the wrong section, or a required attachment left out
  • A scanned document the portal rejects for size or format
  • No acknowledgement to prove the bid was received

How it fits the rest of Tendakazi

Online submission takes the compiled pack and the financial proposal document as files. The closing time on the bid is in Nairobi time, and the acknowledgement closes the bid as submitted, the same as a stamped receipt does for a physical bid.

Questions

Will you need my IFMIS or e-GP password?

No, never. You keep your credentials; we work alongside you on your account.

Why submit early?

The systems slow down and time out under load on closing morning. A bid that does not complete before the closing time is not received.

Can you register my firm as a supplier?

Yes. Supplier registration and prequalification applications are part of submission support.

What if the portal is down?

We document the attempt with screenshots and times, and advise on contacting the buyer. The rules on extensions are the buyer's; check the tender.
